Manage Expenses for a TEDx Event

When you think of TEDx, what do you think of?
Maybe you think of a large, lighted stage, speakers sharing inspiring ideas and stories, poster boards with the all-familiar logo, and an audience that listens and learns.
And yes, it is all of that, if not more. But how does a team of students make that happen?
As Expressive Evolution’s upcoming TEDx event is coming up in about a month (May 12th), the organization wants to share with you how it’s planning for it, especially when it comes to financing.
Assigning leaders and members for a promotions sector, communication with speakers, etc. is really important so no one has to do more than they can handle. So, make sure you split tasks and leave a section of students for the treasury.
Referring to the TEDx Organizer website: TEDx Organizer Guide, especially the Sponsors + Finances category is a key part of the planning process because it has a multitude of useful tips.
Creating a spreadsheet. Expressive organizers have written down all things necessary for the event: the venue, food, equipment, subscription fees for online tools, transportation, etc. Then, they research and record the potential costs in order to come up with a total sum that needs to be raised.
Finally, the organization has been working on planning its budget and how it will raise money. If you’re hosting an event like this, think sales, odd jobs, services (like car washes), and other activities based on your location. If it’s helpful, create a visualization like a pie chart to see exactly how much you plan to spend and earn.
Something else to look out for is sponsors.
Partnering with sponsors is so important, because it’s a great way to raise hundreds of dollars, gain support for an inspiring cause and share the community value of promoting small businesses. Over the past few weeks, members of Expressive Evolution have called, emailed, and went in-person to reach out to companies, especially cafes and restaurants, to support our cause to inspire and empower youth in writing and communication.
So far, from our classes, amazing events like the Communication Olympics, and multiple bake sales, we are getting closer to our goal to make our event possible.
